This policy explains how ApplyDone handles personal information while operating a managed job-search campaign. We do not sell or rent candidate data.
1. Information we collect
- Account information — name, email, authentication identifiers, and account status.
- Search brief — target roles, locations, industries, seniority, compensation, availability, exclusions, and contact preferences.
- Candidate information — resume content, professional links, employment and education history, contact details, and work-authorization information.
- Campaign records — roles reviewed, employer links, application materials, submission status and proof, employer responses, interviews, outcomes, notes, and team updates.
- Billing information — subscription status, provider identifiers, renewal dates, and transaction records. Full card details are handled by the payment provider, not stored by ApplyDone.
- Technical information — security logs, session details, device and browser information, and service diagnostics needed to protect and operate the platform.
2. Why we use information
We use information to assess service fit, design and operate your campaign, prepare truthful application materials, submit authorized applications, communicate with you, track outcomes, provide support, process billing, prevent abuse, meet legal obligations, and improve delivery quality.
3. Who can access it
Authorized ApplyDone personnel receive role-based access only when needed to review, manage, supervise, support, or audit your campaign. Access is logged. When an application is submitted, the information required by that application is disclosed to the relevant employer and its recruiting-system providers.
4. Service providers
ApplyDone uses providers for authentication, hosting, databases, document storage, email, monitoring, and payments. Providers process information under their own terms and only for the services they supply to ApplyDone. The current product does not require a browser extension or a public candidate profile.
5. Sensitive and voluntary information
Work-authorization answers are used only as needed for the campaign and employer applications. Voluntary demographic, disability, or veteran information is not used to rank roles or evaluate candidate fit. When an employer requests voluntary self-identification, the candidate may decline where the form permits.
6. Security
We use access controls, encryption in transit, protected storage, expiring document links where supported, audit logs, and operational review. No system can guarantee absolute security, but we limit collection and access to what the service requires.
7. Retention and deletion
We retain active campaign data while providing the service and for a reasonable period afterward for support, accounting, dispute, fraud-prevention, and legal purposes. You may request access, correction, export, or deletion by emailing hello@applydone.one. Verified deletion requests are completed within 30 days unless law or a legitimate recordkeeping obligation requires limited retention.
8. Cookies and analytics
We use essential cookies for authentication and security. We may use limited aggregate analytics to understand product performance. We do not use personal career information for third-party advertising.
9. International processing
ApplyDone and its providers may process information in countries different from where you live. We use reasonable contractual and technical safeguards appropriate to the service and applicable requirements.
